What the building file is, what it includes, how long the handover takes, and what apartment owners should ask for.
What the building file is. The full set of building documents. Technical inventory, floor plans, utility system diagrams, inspection reports, a history of completed repairs, contracts, meeting minutes.
Why it matters. Without it, the new manager doesn’t know where the pipes run, when the roof was last repaired, or which warranties are still valid. Work starts from a blank page.
What else needs handing over. The remaining reserve fund balance, keys to shared premises, a list of debtors and creditors, and copies of signed service contracts.
How it’s recorded. With a handover certificate. This document records the building’s condition on a specific date.
How long it takes. Usually two to four weeks. Transferring the reserve fund can take up to two months.
What owners should do. Ask to see the handover certificate. It’s your building’s document, not just an internal matter between two companies.
